Payments
Registration is valid on receipt of payment that must be submitted at the same time as completion of your registration. Payment can only be made by a secured online payment. Upon receipt of your completed registration form and payment, you will receive a written confirmation or an e-mail of your registration. All payments should be made in EUROS (€). Personal cheques and foreign currency are not accepted. More information about payment procedure can be found in the on-line registration form.
We accept the following ways of payment:

Cancellation and refunds
The Congress Secretariat (info@evecc-congress.org) must be notified in writing in case of cancellations. Cancellation on or before 15 April 2026: payment will be refunded after the conference minus an administration fee of 50%. For cancellations made after this date: no refunds will be made.
Exchange rate differences and bank charges will also be deducted from your payment.
Currency
The local currency is EURO. Most hotels, restaurants and shops accept all international credit cards.
Official Letter of Invitation
An official letters of invitation designed to help overcome administrative difficulties in certain countries may be requested after completing the online registration process and payment. It must be understood that such letters do NOT represent a commitment on the part of the Organizing Committee or the VECCUS Symposium to provide any financial assistance.
Passport and Visa
For EU citizens:
Short visits: EU citizens (except Irish) can visit the UK for up to 6 months without a visa, but from 2 April 2025 you must obtain a UK Electronic Travel Authorisation (ETA) before travel. The ETA is not a visa but a pre-travel permission, costs a fee, and is valid for multiple trips over up to 2 years or until your passport expires.
Passport requirement: You must travel with a valid passport—the UK no longer accepts most EU national ID cards for entry.
Work, study, or long stays: To live, work, or study in the UK long-term, EU citizens now generally need to apply for an appropriate UK visa (e.g., work visa, student visa) under the UK’s points-based immigration system.
Irish citizens: Irish nationals are exempt from ETAs and visa rules and continue to have special rights to enter and live in the UK under the Common Travel Area arrangement.
Residence rights for those already in the UK: EU citizens who were living in the UK and applied under the EU Settlement Scheme before the deadline may have settled or pre-settled status, allowing them to stay and work without a new visa.
For US residents:
Tourist or short visits: U.S. citizens can enter the UK for up to 6 months without a visa for tourism, visiting family, or short business trips. You must obtain a UK Electronic Travel Authorisation (ETA) before travel. The ETA is not a visa but a pre-travel permission, costs a fee, and is valid for multiple trips over up to 2 years or until your passport expires.
Work or study: To work, study, or stay long-term, U.S. citizens must apply for the appropriate UK visa under the points-based immigration system (e.g., Skilled Worker visa, Student visa).
Passport requirement: Travelers must have a valid U.S. passport with at least six months’ validity recommended.
Special programs: Certain programs like the Youth Mobility Scheme allow eligible U.S. citizens (ages 18–30) to live and work in the UK for up to 2 years, but this has strict requirements and limited spots.
Entry rules: All visitors are subject to border checks, and immigration officers may ask about your stay purpose, finances, and accommodation.
Visas for other countries:
Tourist or Short Visits: Many non-EU citizens (e.g., Canadians, Australians, New Zealanders, Japanese, South Koreans, Singaporeans) can enter the UK for up to 6 months without a visa for tourism, short-term business, or visiting family. Other countries (e.g., India, China, most African and South American nations) require a visa before travel, even for short visits.
Work or Study: To work, study, or stay long-term, a visa is required under the UK’s points-based immigration system, regardless of nationality. Examples include Skilled Worker visas, Student visas, and Family visas.
Passport Requirement: All travelers must have a valid passport, and some nationalities may need additional documentation such as proof of accommodation or finances.

Language
The official language of this symposium is English, their will be no translation available.
Conference badges
All participants, accompanying persons and exhibitors must wear the identification badge. Entrance to the meeting hall(s), breaks and exhibition area will not be permitted to any person without a badge.
Liability
Upon registration, participants agree that neither the Organizing Committee nor the Conference Secretariat can be subject to any liability concerning participation related activities. Participants should, therefore, organize their own (health and travel) insurance(s).
Photos and Videos
During conferences organized by PCO on behalf of VECCUS it is possible that photos and/or videos are made. These photos and/or videos can be used for or on publicly accessible websites for illustration purposes and/or to give form to the website(s) related to PCO on behalf of VECCUS and/or the client and/or for or in news items, reports, newsletters, guides, leaflets, advertising and/or social media related to PCO on behalf of VECCUS and/or the client. You are entitled at any time to object to this processing of personal data by sending a statement to that effect to the PCO. PCO on behalf VECCUS will, where reasonably possible, erase the personal data and, if this is not possible, cease further use of the personal data.
Safety and Security
It is advisable that you do not leave bags or suitcases unattended at any time, whether inside or outside the session halls, hotel area or congress building. The Organizers cannot accept liability for personal accidents or loss of or damage to private property of participants.
Pets
Please note that pets are NOT allowed in any of the rooms of the congress center and are therefore prohibited during the symposium!
Mobile Phone Manners
As a courtesy to other attendees, please observe good mobile phone manners. When attending sessions, please turn off your mobile phone and other wireless communications or use the silent notifications options. If you must take a call, please step out of the room rather than disrupting the event. Thank you for your cooperation.
